Whether you are planning a trade exhibition show, a community event, music festival or gala dinner, organising an event can be stressful! From fussy clients and demanding talent, to freak weather events, you never know what might be thrown at you in the lead up and duration of an event! Therefore to help you have a less stressful event, we have five tips from an industry pro that will help you to stay zen amongst the chaos of event management:
Get organized
If you’re not already organised, it’s time to start now! Any event manager worth their salt keeps numerous lists and planning schedules that they update on a regular basis in the months or weeks leading up to an event. There should be a master “to-do” lost that consists of every single task that needs to be achieved, when it needs to be achieved by and who is responsible. This master list is an event manager’s key to running a successful and stress free event by ensuring that everything is happening on time and on budget.
Choose reliable suppliers
When choosing a supplier for your event, don’t just pick the first one you find. You want to find a supplier that is going to be able to understand all your requirements and accommodate all your needs. It’s easy to find one that fits your specs on paper, but what are they really like? Are they flexible? Can they make last minute changes? Can they be there when you need them and deliver on time?

Make it look Great
Almost any event can instantly be made more enjoyable and exciting when it looks incredible and there is clear signage and directions for attendees to find what they are looking for.
While the possibilities of the themes and style ideas are endless, it’s always good to choose options that have some sort of meaning or connection to the event. An experienced designer can be very helpful in this regard and assist with measuring the space, design concepts and recommend installation options for your pop up stands and temporary sign needs.
Have a back up plan
When you have a plan in place for something that might go wrong, it gives you peace of mind. Make sure you have a contingency plan in place for things such as bad weather, AV or technology failure or last minute signage or design changes.
Don’t Panic!
It can be very easy to get overwhelmed by the event management process, but it is important to stay calm and composed in the face of pressure. Sometimes things just don’t go as you have planned, so take a deep breath and tackle each issue as they come up one by one.
